Implementation, week by week
From the kickoff call to go-live typically takes two to four weeks. Larger or multi-site rollouts are planned to their size. Here is what happens in each step, what we do, and what we need from you. Your subscription starts at go-live.
From kickoff to go-live
- Before kickoff
Step 1: Try it, then buy
Start a 14-day trial on the Safety & Compliance edition with no card, or buy online. Buying online, you pay the once-off onboarding fee; the monthly subscription does not start yet.
We do
- Open your trial account, or set up billing when you buy online
- Book your kickoff and onboarding call
You bring
- A sponsor who can say what "live" means for your site
- One or two of the checklists you run today
- Week 1
Step 2: Kickoff and onboarding call
A dedicated rep runs the kickoff with your team: the sites, the inspections and registers that matter first, who signs off, and the go-live you are aiming for.
We do
- Run the kickoff and onboarding call
- Agree the scope and the go-live criteria with you
- Talk you through the Operations edition, if work orders or dispatch are in scope
You bring
- The people who will run inspections and the people who will close actions
- Your current checklists, forms and registers
- Weeks 1 to 2
Step 3: Checklists and workflows configured for your industry
Your own checklists become templates in Inspecable. A paper form, an Excel sheet or a PDF can be imported with AI and then reviewed, so nobody retypes a checklist from scratch.
We do
- Configure your checklists and workflows
- Set up the conditional logic your forms need, such as a required photo or an automatic issue on a failed item
You bring
- Sign-off on each checklist before it goes to the field
- Weeks 2 to 3
Step 4: Assets and team imported and set up
Your asset list comes in from Excel or CSV, with AI column mapping and a per-row review. Users are invited by role. Each asset can carry a QR label that opens it or starts its inspection.
We do
- Import your assets and set up your team and their roles
- Generate QR labels for the assets you want to scan
You bring
- An asset list (a spreadsheet is fine)
- A list of users and the role each one needs
- Weeks 2 to 4
Step 5: First inspections in the field
Your crews run real inspections on Android, offline where there is no signal. Failed items raise issues, and your account manager stays with you through rollout to fix what the first runs show.
We do
- Stay with you through rollout as your account manager
- Adjust templates after the first field runs
You bring
- A first site or crew to go first
- Feedback from the first runs
- Go-live
Step 6: Your subscription starts
When your account, team and checklists are set up and in use, you are live. The monthly subscription starts at go-live, not before.
We do
- Confirm go-live with you
- Start monthly billing for your users and assets
You bring
- The go-live decision
The weeks are typical, not fixed: the pace depends mostly on how quickly the asset list, the user list and the checklist sign-offs come through. A larger or multi-site rollout gets its own plan at the kickoff call.
One once-off fee: R15 000
- A kickoff and onboarding call with a dedicated rep

About implementation
How long does implementation take?
Typically two to four weeks from kickoff to go-live. Larger or multi-site rollouts are planned to their size at the kickoff call, site by site if that suits you.
When does the subscription start?
At go-live, after your kickoff call, once your account and team are set up. Buying online, you pay only the once-off onboarding fee until then.
What does onboarding cost?
Buying online, the once-off onboarding and implementation fee is R15 000 excluding VAT. Larger or more complex rollouts are quoted to your asset count and team size. The fee is refundable in full until your kickoff call.
Can we try Inspecable before we commit?
Yes. The 14-day trial on the Safety & Compliance edition needs no card. Run one of your own checklists on a phone before you decide.
