    Asset Register Template (Excel-Import Ready)

A plant and equipment register lists every asset a site is responsible for, where it is, how critical it is, how often it is inspected and which statutory inspections it carries. It is the list every inspection programme, legal register and maintenance plan hangs off.

Built once per site, updated when an asset is commissioned, moved or disposed of, and reviewed at least yearly against what is physically on the ground.

    What is in the template

    Plant and equipment register

Columns: Asset tag · Description · Type · Site and area · Make and model · Serial number · Commissioned · Criticality · Inspection frequency · 14 rows per page

One row per asset, one tag per row. Criticality is high, medium or low by the consequence of failure. The column names match the spreadsheet layout that Inspecable imports with AI column mapping, so a register kept in this layout loads without being retyped.

    Statutory inspection items

Columns: Asset tag · Statutory inspection required · Last done · Next due · Certificate ref · 10 rows per page

Lifting machines, pressure equipment, electrical installations and similar items that a regulation requires an authorised or registered person to inspect or certify. Name the regulation and the interval in the second column.

    How to fill it in

    1. 1Walk the site and list what is actually there, one tag per asset, rather than copying the finance fixed-asset list. Finance counts cost centres; you count things that can fail.
    2. 2Give every asset a tag that is physically on it and matches the register, so an inspector or a maintenance fitter can find the row from the machine.
    3. 3Record the site and area, make, model, serial number and commissioning date from the nameplate and the handover file, not from memory.
    4. 4Set criticality by the consequence of failure, then set the inspection frequency from the manual, the regulation and your own risk assessment, whichever is strictest.
    5. 5Fill the statutory table for every asset that a regulation requires a registered or authorised person to inspect, and record the certificate reference with the next due date.
    6. 6Review the register at least yearly, and strike through disposed assets rather than deleting them, so the history stays readable.

A general template, not legal advice. Check it against the Act, the regulations and the codes of practice that apply to your site, and against your own safety management system. The OHS Act section 8 requires the employer to provide and maintain plant that is, as far as reasonably practicable, safe and without risk to health. Under the OHS Act, the Driven Machinery Regulations, the Pressure Equipment Regulations and the Electrical Installation Regulations each set a periodic inspection, test or certificate for the equipment they cover. Under the MHSA, section 2 places the duty on the employer and the regulations on machinery and equipment set the inspection and record-keeping duties for a mine. ISO 45001 clause 8.1 requires the operational controls to be planned and kept.

    Questions

What should an asset register include?

A unique tag, a description, the asset type, where it is, make, model and serial number, the commissioning date, a criticality rating and the inspection frequency. Assets with statutory inspections also need the regulation, the last and next inspection dates and the certificate reference.

Is an asset register the same as a fixed-asset register?

No. A fixed-asset register is a finance record of cost, depreciation and book value. A plant and equipment register is an operational record of what can fail, where it is and how it is inspected. The two can share tags, but they answer different questions.

Can this register be imported into Inspecable?

Yes. Keep the register in a spreadsheet with these column headings and import it from Excel or CSV on the web dashboard. AI column mapping matches the headings to the asset fields, and you confirm the mapping before anything is written.
