How to Do a Vehicle Pre-Trip Inspection on Your Phone, Even Offline | Inspecable
This tutorial runs a Light Vehicle Pre-Trip Inspection from start to finish: picking the checklist, finding the vehicle by its QR label, recording a tyre fault with a photo and a note, signing it off, opening the record and the PDF report, and finding the issue it raised, linked to the vehicle and the inspection. The inspection saves on the phone with no signal and syncs while the app is open; the QR lookup and the final PDF need signal. Recorded from the field app in a live demonstration organisation.

Introduction
In the next few minutes you will do a full inspection on the Inspecable field app. You'll pick the checklist, find the vehicle, record a fault with a photo, sign it off, and open the report.
Pick the checklist
Open Inspections and tap New Inspection. You will see the checklists you are allowed to run. Search for the one you need. Here it is the Light Vehicle Pre-Trip Inspection. Tap Start.
Find the vehicle
The app now asks what you are inspecting. Tap Scan asset QR code and point the camera at the label on the vehicle. When it finds the asset, tap Start Inspection. The lookup needs signal; without it, open the asset from your list instead. The Toyota Hilux is now the subject, and the checklist is ready. Tap Start. The app records where you are and opens the checklist.
Work through the items
Each item has three answers: pass, fail, or not applicable. Tap the tick for a pass. The counter at the top shows how far you are. Tap the same answer again to clear it.
Record a fault
This tyre tread is not right, so tap the cross. A failed item raises an issue straight away, and you will see Issue created at the bottom. With no signal it says Issue queued offline, and it goes up when you are back in coverage.
Add a photo and a note
Now add the evidence. Tap the camera icon on the item, then Take Photo, and photograph the tyre. The photo is kept on the phone first and uploads when there is signal. Then tap the comment icon and say what you found, so the person fixing it knows what to look for.
Finish and sign
Answer the last items and tap Complete. The summary shows how many items passed, failed, or were not applicable. Tap Sign Inspection, confirm that the information is true, and continue to the signature. Sign in the box and tap Submit. The inspection is complete, and you are back at your list.
The record and the PDF
Open the inspection to see the record: every answer, your photo and comment, and the signature. Tap Download PDF Report for the full report. Offline you get a marked preview, and the final PDF is made once the inspection syncs.
The issue it raised
The fault you recorded is now in Issues, linked to the vehicle and the inspection. Your supervisor can assign it, and you can follow it through to closed from here.
